All systems are now back online and fully functional. What You Need to Know: * System Access: The CHD and User Portal are now accessible. If you still see the maintenance page, please refresh your browser or clear your cache. * Database Update: The database maintenance has been completed successfully. * Email Processing: Our mail servers have begun processing the queue of inbound emails held during the downtime. Please allow some time for all tickets and replies to appear in your dashboard as the system clears the backlog. Final Verification Our engineering team has completed post-maintenance testing to confirm data integrity and system performance. We sincerely appreciate your patience during this extended maintenance window. Mar <var data-var='date'>21</var>, <var data-var='time'>13:27</var> CDT Update - Status Update: Maintenance Window Extension The scheduled database maintenance for the Spiceworks Cloud Help Desk (CHD) is taking longer than initially anticipated. Due to the complexity and volume of the database migration required for our advanced search improvements, we are extending the maintenance window by an additional twelve (12) hours until 3:00 AM CDT (08:00 UTC) on Sunday, March 22, 2026. Current Progress & Impact: * Database Migration: The migration of core data structures is still underway. To ensure total data integrity and system stability, we cannot safely truncate the process or bring the application back online until the new indices are fully established. * Email Safety: All inbound emails continue to be safely queued. No messages will be lost; they will be processed in the order received once the system is restored. * System Availability: CHD and the User Portal remain unavailable. Users will continue to see the maintenance page during this extended period. * Data Integrity: We want to reiterate that all existing ticket data, attachments, and configurations remain secure and unaffected. We sincerely apologize for this unexpected delay and the disruption to your workflow. Our engineering team is monitoring the migration progress around the clock to bring the service back online as quickly and safely as possible. Mar <var data-var='date'>21</var>, <var data-var='time'>00:00</var> CDT In progress - Scheduled maintenance is currently in progress. We will provide updates as necessary. Mar <var data-var='date'>18</var>, <var data-var='time'>03:52</var> CDT Scheduled - Starting at approximately 12:00 AM CDT (05:00 UTC) on Saturday, March 21, 2026, we will perform maintenance on the Spiceworks Cloud Help Desk (CHD). We expect the maintenance to last up to fifteen (15) hours, concluding no later than 3:00 PM CDT (20:00 UTC). We are performing scheduled database maintenance to support upcoming improvements to advanced search. Because these changes affect critical database structures, we require a maintenance window during which the application is temporarily unavailable to safely apply and verify the updates. While CHD may be inaccessible during this maintenance period, no data will be lost, and inbound emails will be safely queued and processed once maintenance concludes. * Full application downtime: The entire CHD application and user portal will be unavailable during this period, and a maintenance page will be displayed. * Email queuing: Inbound emails will not be lost; they will be safely queued while the system is offline. * Ticket creation: Once the maintenance is complete and the application is back online, all queued emails will be processed. Tickets will be created at that time, and automated notification emails will begin delivering shortly thereafter. * Data safety: No existing data will be lost during this infrastructure update. To stay up-to-date with our progress or any changes, bookmark our Status Page: https://status.spiceworks.com/ This maintenance only impacts CHD. Other Spiceworks cloud tools, including Inventory Online, will not be affected and will remain available. We appreciate your patience and understanding.

Jan <var data-var='date'> 8</var>, <var data-var='time'>12:11</var> CST Resolved - Following a period of stable monitoring, we have confirmed that the outbound email notification issue affecting the Spiceworks Cloud Help Desk (CHD) is fully resolved. All systems are operating normally, and we are officially moving this incident to "Resolved." All email-dependent features are now functioning as expected, including: • Ticket Notifications: End-users, admins, and technicians are receiving ticket update emails • User Access: Passwordless User Portal login links (magic links) are working • Onboarding: New admin and technician invitations are being sent successfully. • Reporting: Email notifications for report completions are being delivered correctly. We are now shifting our focus to a comprehensive review of the email service provider (ESP) disruption to ensure long-term stability and to prevent a recurrence. Thank you for your patience while we worked to resolve this issue with our service provider. Jan <var data-var='date'> 7</var>, <var data-var='time'>13:40</var> CST Update - Resolution in progress: Outbound email notification issue (external ESP issue) We are continuing to work towards a resolution for the outbound email notification issue in the Spiceworks Cloud Help Desk (CHD). The root cause has been identified within our external email service provider (ESP) rather than our internal systems. Because the issue is localized to the ESP, only outgoing email-related notifications are impacted, and the core CHD platform remains operational. We are working closely with our ESP to complete the restoration process, with the immediate priority of returning full email delivery functionality as quickly as possible. What’s working • The Cloud Help Desk is operational: The core ticketing system remains active and accessible. -- Ticket submissions: End-users can still submit new tickets via email and through the User Portal. Please note that email authentication is affected; see the current limitations below. -- Managing tickets: Admins and technicians can create, update, and resolve tickets within CHD. Current limitations -- Update notifications: Outbound email notifications are not being sent to end-users, admins, or technicians. -- Passwordless User Portal logins: Passwordless logins for end-users to submit tickets via the User Portal are not working -- Admin and technician invitations: New user invitations are not working. Workaround: Contact Spiceworks Support for assistance with onboarding new users (this does not apply to end-users). -- Report notifications. Report completion email notifications are not being sent. Workaround: You can still use exports, but you will not receive an email when they’re ready. Simply refresh the page, and the download button will activate when the export is available. We are finalizing the remaining steps with our ESP and believe a resolution is near. Another update will be provided shortly. We sincerely apologize for the disruption this has caused your team’s workflow. These updates specifically affect members who log in using an email address and password across our key platforms: Community, Cloud Help Desk (CHD), Inventory Online, Connectivity Dashboard, and Contracts. 1. Mandatory Password Update For better security, we’re introducing a required password refresh for some accounts: What’s Happening: If you haven’t changed your password in the last six months, you will be prompted to change it the next time you log in. To make it even easier, we’ll automatically send you the password reset link via email straight to your inbox. Why? This helps ensure your credentials remain protected. You’ll be using the stricter password requirements we introduced last year, which are designed to keep your account safer. 2. Account Inactivity Lock To further protect accounts that may no longer be in active use, we’re implementing an inactivity policy: What’s Happening: Accounts that we believe haven’t been used for over a year will be temporarily locked. What if my account is locked? Don’t worry, unlocking it is easy! You can regain access immediately by using the “Forgot Password” feature on the login screen. Why? This ensures that only you can regain access, as the password reset link will be sent directly to your registered email address. This prevents unused accounts from becoming a security risk. These steps are all part of our ongoing effort to provide you with the most secure experience possible. We appreciate your cooperation in helping us keep your accounts and our community safe!
